Hotel Analytics Software: A Useful Weekly Dashboard

Hotel analytics software can display hundreds of measures. A weekly dashboard is useful only when the team agrees what each number means and which decision it can change. For a Malaysian independent hotel, start with a small view that connects demand, price and channel cost.
Choose one reporting window, one time zone and one definition of saleable rooms. Keep comparisons consistent: a room out of order or a group block can change the denominator and make an apparent trend misleading.
The seven measures to review together
| Measure | Question it answers |
|---|---|
| Occupancy | How much saleable inventory was filled? |
| ADR | What room revenue was earned per sold room? |
| RevPAR | What room revenue was earned per available room? |
| On-the-books rooms | How many future stay dates are already committed? |
| Net pickup | How many rooms were added after cancellations and changes? |
| Cancellation rate | How much booked demand failed to become a stay? |
| Channel contribution | What remains after channel-specific costs? |
ADR is room revenue divided by rooms sold. RevPAR is room revenue divided by available rooms. Do not mix room revenue with restaurant revenue in those calculations. The ADR, occupancy and RevPAR calculator explains the formulas in detail.
Add context before changing a rate
Compare each measure with a relevant prior period, then write down the reason for a material difference. A local event, a room closure, a large group or a promotion can all move the numbers. If pickup is weak for a future weekend, check whether the room is actually bookable before lowering its price. The booking pickup guide shows how to read booking pace.
For channel contribution, use the hotel's own commission, payment cost and marketing assumptions. A channel with a higher gross rate may still produce a lower net result. The OTA commission calculator can help frame the comparison.
Make the meeting end with an owner
Give the dashboard a weekly rhythm: identify two or three dates or channels needing attention, assign one owner per action and revisit the outcome next week. Keep a short decision log beside the charts. If a metric cannot lead to an action, it may belong in a monthly report instead.
When assessing hotel analytics software, ask to build this exact dashboard from your own data in an eZee hotel PMS demo. Check export definitions, date filters and who can access the reports before relying on them.
