When a hotel searches for an F&B POS system price in Malaysia, the most useful answer is a comparable quote, not an isolated monthly figure. A restaurant, breakfast outlet and room-service operation may need different devices, integrations and support coverage. Those choices can change the total more than the headline subscription.

Ask each supplier to price the same written scenario: the number of outlets, active terminals, expected users, room-charge workflow, payment methods and reporting needs. Then compare what is included and what would be billed separately.

Put every quote on the same cost sheet

Record the setup fee, recurring licence, contract term and any increase or renewal conditions. Add hardware: terminals, tablets, receipt printers, kitchen printers or displays, cash drawers and network equipment. Check who owns and maintains each device.

Next, ask whether the quote includes:

  • A connection to the hotel's PMS for posting charges to guest rooms.
  • Menu setup, taxes and approved receipt configuration.
  • Payment terminal or gateway integration and any transaction charges.
  • Data migration, staff training and launch-day support.
  • Additional outlets, terminals or users later in the contract.
  • Support hours, response targets and on-site assistance in Malaysia.

The hotel F&B POS buyer's checklist covers the transactions to test before selecting a vendor. Use it beside the cost sheet so the cheapest proposal is not rewarded for omitting a required task.

Test the room-charge cost in practice

Ask the supplier to demonstrate a guest meal charged to a room, a split payment and a void approved by a manager. Verify where each transaction appears in the POS report and the PMS folio. A room-charge integration that requires manual re-entry may shift cost into staff time and reconciliation errors.

If a provider charges separately for integration, document the setup fee, ongoing fee, supported PMS version and ownership of failed postings. The PMS and restaurant POS integration guide gives a fuller test sequence.

Compare the first year and the normal year

Make two totals: the first year with setup and devices, and a later year with recurring charges. Include a realistic allowance for replacements and additional users if the hotel expects to grow. Do not invent a savings figure from a vendor's generic example; use your own outlet volume and staffing pattern.

Before signing, have accounts review the payment and tax configuration and operations review the support agreement. Bring your cost sheet and a real room-charge scenario to an eZee restaurant POS demo or book a walkthrough.
