Hotel F&B POS System Malaysia: A Buyer's Checklist

A hotel F&B POS system in Malaysia has to serve diners, outlet staff, reception and accounts. The most convincing demo is not a feature list; it is a dinner order that reaches the correct bill and can be reconciled at the end of the shift.
Start with your actual service model. A café with walk-in customers, a breakfast buffet and a bar that posts to guest rooms will expose different gaps.
Run five real transactions
Ask each vendor to show these scenarios in the proposed configuration:
- A walk-in diner pays by card and receives the right receipt.
- A checked-in guest charges dinner to the correct room and folio.
- A guest splits a table bill across two payment methods.
- A manager approves a void or discount and the audit trail records who did it.
- An outlet closes while an unsettled bill still needs attention.
Check how staff find a guest with the same surname as another guest. A room number alone can be misheard, so a clear verification step matters. The deposit reconciliation guide is useful when advance payments and folio balances meet outlet charges.
Check the operational fit
Confirm menu modifiers, courses, printer or kitchen display routing, service charges and user permissions. Ask whether the system can support the hotel's approved tax and receipt configuration; have your accountant verify the actual setup before launch. Do not accept a generic tax screenshot as proof that your outlet's transaction types are covered.
Look at the offline procedure too. What can staff still record when connectivity fails, and who reconciles those transactions after service resumes? Test this with a busy-shift example, not just a quiet demo order.
Reconcile outlet sales with the hotel ledger
At closing, the manager should be able to explain gross sales, discounts, voids, payments, room charges and outstanding checks. Match one sample shift to the POS report, payment settlement and PMS folio postings. If the numbers differ, identify the owner and correction path.
Ask about training for new employees, outlet-specific permissions and support hours in Malaysia. A system that works only with a senior manager present is hard to operate consistently.
Use this checklist in a restaurant POS demonstration, and bring one real room-charge scenario to an eZee Malaysia walkthrough.
