A guest says the deposit was paid, but reception cannot find it against the reservation. Another payment has reached the bank without a usable booking reference. Hotel deposit reconciliation connects those records so the team can explain what has been received and what still needs checking.

The objective is a traceable link between the reservation, the payment and the hotel's approved records. Use your accountant's posting rules and your payment provider's settlement definitions; the workflow below is an operational checklist.

Keep three statuses separate

Do not treat “payment requested”, “payment confirmed” and “payment settled” as the same thing. Depending on the payment method, a successful transaction and its later settlement may appear in different reports.

Similarly, a security pre-authorisation is not automatically a captured deposit. Confirm which transaction occurred before describing the amount to the guest or applying it to a booking.

Train staff to check the approved payment source. A screenshot or a forwarded message can help locate a transaction, but should not be the only evidence used to mark a booking as paid.

Record the reference when requesting payment

Make matching easier before the money arrives. Give the guest the correct reservation reference and use an approved payment link or collection method where available.

For each expected deposit, keep the booking reference, amount, currency, due date and responsible team visible. Include the payer's name when needed for matching, but avoid copying unnecessary personal or banking information into shared notes.

If one company pays for several guests, agree how the payment will be allocated across the reservations. A total matched to the company name alone may still leave individual folios wrong.

Work through a daily matching queue

Set a cut-off that suits your bank, provider and staffing arrangements. Compare the relevant transaction reports with the reservation or deposit records using:

  • Booking and payment references.
  • Transaction date and amount.
  • Currency and payment method.
  • Confirmed transaction status.
  • Any allocation across several rooms or bookings.

Match the transaction first, then record the approved allocation. If the provider deducts fees before settlement, use its settlement report to explain the difference. Do not overwrite the guest's payment amount merely to make a bank total look equal.

The hotel payment methods guide covers the practical differences between collection methods used by Malaysian properties.

Maintain an exception list

Unmatched items should become a queue with owners, rather than disappearing into a chat history.

Exception Useful next action
Payment without a booking reference Compare the payer details and contact the relevant booking owner
Guest reference but no confirmed transaction Check the correct provider and date range before requesting further evidence
Amount differs from the requested deposit Verify partial payment, allocation, currency and settlement details
One payment appears against two bookings Investigate the original transaction and allocation history
Cancelled booking still carries a deposit Review the booking-specific terms and approved adjustment process

Do not collect the same amount again while an investigation is still open without checking the position and communicating clearly with the guest.

Track refunds through completion

A refund request, an approved refund and a completed refund are separate steps. Record the authoriser, original transaction reference, amount and provider status using your approved procedure.

When a booking is amended or cancelled, review how the existing deposit should be handled under that booking's terms. Explain the confirmed position without promising a completion time the payment provider has not supplied. See the cancellation policy guide for clearer guest-facing wording.

Make unresolved payments part of handover

Before the next shift arrives, identify bookings with approaching payment deadlines and unresolved receipts. Assign an owner and a next check time, especially for arrivals that day.

eZee's hotel system overview describes cashiering and payment tools. During a PMS demonstration, ask to follow one deposit from collection to booking allocation, settlement review and an authorised refund. That walkthrough is more useful than checking whether a feature list contains the word “payments”.
