Hotel Housekeeping Software: What to Check

Hotel housekeeping software should help a property release clean rooms safely and plan work fairly. The buying test is a busy turnover day: departures, early arrivals, rooms under repair and an unexpected late checkout.
Before comparing screens, agree on your status definitions. “Vacant,” “dirty,” “clean,” “inspected” and “out of order” need clear owners and consequences. If the front desk treats a clean room as ready while housekeeping still expects inspection, the system can speed up the wrong decision.
Test the room-status handoff
Have an attendant mark a room cleaned, a supervisor inspect it and reception assign it to an arriving guest. Confirm which status each person can change and when the room becomes saleable. Test an inspection failure and a room that must remain unavailable for maintenance.
The room inventory management guide explains why operational readiness and online availability must stay aligned. For maintenance issues, use the preventive maintenance checklist to define who owns the repair record.
Check daily planning and exceptions
Ask how the system handles priority arrivals, stayover service, late checkout, do-not-disturb, extra beds and rooms that require specialist cleaning. Can a supervisor rebalance assignments when someone is absent? Can staff leave a useful note without exposing guest information to everyone?
If the property relies on mobile devices, test the interface with the actual network conditions in guest corridors. Clarify what happens when a device is offline and how conflicting changes are resolved once it reconnects.
Measure the result you want
During a pilot, record time from checkout to inspected-ready, rooms released after the promised arrival time, re-clean requests and calls between reception and housekeeping. Review a few exceptions each day. Faster status updates are valuable only when room quality remains dependable.
Bring your turnover-day scenario to a hotel PMS demonstration. Follow each room from departure to assignment, and confirm the reporting your supervisors will actually use. Arrange a walkthrough with the people who clean and sell the rooms present.
