Hotel Room Inventory Management: Keep Availability Accurate

Your PMS shows a room available, but maintenance has taken it out of use. Reception accepts a walk-in and discovers the mismatch only when allocating the key. Hotel room inventory management starts with keeping the rooms you can sell aligned with the rooms you can actually deliver.

For an independent Malaysian hotel, a short daily check is often more useful than another spreadsheet nobody owns. Give one person responsibility for reviewing exceptions and make every adjustment visible to the next shift.

Separate a room's condition from its availability

A dirty room, an occupied room and a room undergoing repairs are different operational situations. They should not all become an unexplained reduction in the room count.

Agree how your property uses each status in its PMS. Check whether a maintenance status removes the room from sale, which dates it covers and who can reverse it. Labels such as “out of order” and “out of service” can behave differently between systems; train staff on your actual configuration.

Use a housekeeping room-ready checklist to distinguish cleaning progress from approval to check a guest in.

Build a daily inventory check by room type

Review today, tomorrow and any dates with heavy arrivals or planned maintenance. Start with the physical room list and work through:

  • Rooms blocked for repairs, with start date, expected release and an owner.
  • Confirmed arrivals, departures, extensions and room moves.
  • Group allocations and tentative holds that still consume inventory.
  • Differences between the PMS, channel manager and booking engine.
  • Special requirements that affect allocation, such as a confirmed twin-bed arrangement.

A single total can conceal a shortage in one category. Five rooms left across the hotel does not help if all five are doubles and an arriving group has booked twins.

Put an expiry and an owner on every block

“Keep room 206 closed” is an incomplete instruction. Record the reason, affected dates, responsible person and what must happen before release.

For example, a hypothetical air-conditioning repair might require maintenance to finish the work, housekeeping to clean the room and a supervisor to inspect it. The room should return to sale after those steps are confirmed, rather than automatically because the original estimate has passed.

If work runs late, extend the block and inspect future bookings immediately. A maintenance note does not necessarily update every connected sales channel by itself.

Recheck after extensions and room moves

A stay extension uses inventory on additional nights. Confirm those nights before telling the guest they can remain in the same room. Check any incoming booking already assigned to it.

Room moves need similar care. Record the move in the PMS, update the old room's housekeeping status and confirm the new assignment. Do not leave a paper note as the only record while both rooms appear occupied or both appear vacant.

Include unresolved exceptions in the front desk shift handover, with a named owner and next review time.

Investigate channel differences instead of masking them

When an OTA displays unexpected availability, compare the same stay dates, room type and rate plan. Check mapping, active restrictions, inventory allocations and the latest update status before changing totals.

Avoid repeatedly adjusting stock in several systems without knowing which system controls it. That can hide the cause and allow the discrepancy to return with the next synchronisation. Use the overbooking prevention guide for the wider distribution checks.

Use the PMS view as a shared reference

eZee's reservation-centre documentation describes views covering room status, availability, out-of-order rooms and future bookings. Those views help the team see exceptions, but staff still need a clear process for recording changes promptly.

When assessing a hotel PMS, ask the demonstrator to take a room out of service, extend the block and return it to sale. Follow the effect through to the connected channels. A useful inventory process makes every change understandable, traceable and timely.
