The morning receptionist promised a guest an update about a room move. By evening, the guest has to explain the problem again. A hotel front desk shift handover should transfer responsibility as clearly as it transfers the reception counter.

For a small hotel, a short, consistent handover can work better than a long diary that nobody reads. Focus on what the incoming shift must act on.

Start with arrivals and departures

Review expected arrivals, unconfirmed arrival times, early check-in requests, late departures and extensions. Highlight exceptions that affect room assignment or staffing.

For each exception, record what has been agreed, what remains conditional and the next action. “Guest arriving early” is less useful than “Guest expects to arrive at noon; room not yet inspected; luggage storage offered; update guest when ready.”

Check the live reservation record together. A printed arrival list can become outdated after a cancellation or room move.

Reconcile the cash and payment position

Follow the property's cash-control procedure when counting the float and handing over access. Record discrepancies for investigation rather than quietly adjusting the total.

Separate these payment questions:

  • What has been collected?
  • What is still due?
  • Which transactions are pending confirmation?
  • Which refunds or disputes need approval?

Link each issue to its reservation or folio reference. A note saying “payment done” is not enough when the booking record still shows a balance. See the hotel payment methods guide for the wider reconciliation workflow.

Confirm room-status exceptions

The incoming shift needs to know about occupied-room discrepancies, rooms awaiting inspection, approved late checkouts and rooms removed for maintenance.

Check these against the hotel PMS and the housekeeping status. If the systems disagree, assign someone to resolve the discrepancy before selling or assigning the room.

A maintenance note should state whether the room may be occupied. “Air-conditioning issue reported” leaves the next receptionist guessing; “room blocked pending technician assessment” gives a clear operational instruction.

Turn guest requests into an action list

Capture unresolved requests with a booking reference, brief description, owner, due time and current status. Include the latest promise made to the guest.

These are examples, not instructions to promise those services. Adjust the list to your property and record only relevant information.

Include incidents and operating constraints

Pass on internet outages, failed channel updates, access problems, expected deliveries and other conditions that affect the shift. Urgent safety issues belong in the hotel's escalation process immediately, not only in a handover note.

Include the duty contact and any approved temporary procedure. If a system is unavailable, explain where reservations or transactions are being recorded and who will reconcile them once service resumes.

Limit access to sensitive incident details. The handover should provide enough information for staff to act without exposing unnecessary guest information.

Have the incoming shift acknowledge open items

Allow a brief overlap when the roster permits it. Review urgent tasks first, then confirm ownership of the remaining list.

Acknowledgement means the incoming shift understands the action and its deadline. It does not mean every problem has already been solved. Keep open items visible until someone records the outcome.

Avoid maintaining separate versions in a notebook, a chat group and the PMS. Choose one shared operational record and use other channels to alert colleagues to it.

Check whether the process is working

Look for guest requests repeated across shifts, overdue follow-ups, unexplained cash differences and room assignments based on outdated information. These patterns show where the handover needs improvement.
