Hotel Reservation System: From Enquiry to Confirmation

A hotel reservation system is valuable when it makes the status of every request clear. An email enquiry, a tentative hold and a confirmed stay should not occupy rooms or trigger guest messages in the same way.
This matters for small Malaysian hotels where requests arrive by phone, WhatsApp, email, the website and online travel agencies. Staff need one agreed path from the first question to a usable reservation record.
Define three statuses in plain language
Enquiry: The guest has asked for availability or a quote. No room is promised unless the hotel explicitly says so.
Hold: The hotel temporarily reserves inventory under a stated deadline and condition. Record who approved it, when it expires and what happens if no response arrives.
Confirmed: The guest has accepted the offer and met the property's confirmation conditions. Record the rate, room type, dates, occupants, source and payment status.
Train staff to use these words consistently in guest messages. A quote that reads like a confirmation can create a dispute when the room is later sold.
Capture the information needed to act
For every request, log the contact channel, arrival and departure, number of guests, room preference, quoted rate and inclusions, payment requirement and follow-up owner. Preserve the original guest request where relevant. If a special request cannot be guaranteed, mark it as a request rather than a promise.
When a deposit is due, record the due time and how payment will be matched to the booking. The hotel deposit reconciliation checklist covers that handoff.
Test changes and expiry rules
Ask a colleague to amend a confirmed stay, let a hold expire and answer a guest who replies after the hold deadline. Check that inventory, price and the guest message all reflect the final decision. Do not rely on a note in an inbox to release inventory.
Compare this manual path with direct bookings through an online booking engine. The same room and policy rules should lead to consistent outcomes. If requests regularly arrive from multiple channels, review the overbooking prevention guide.
A useful demonstration should include one messy real enquiry from your property. Follow it through quote, hold, payment and confirmation in the hotel PMS, then decide which steps your team still needs to define.
