Hotel Check-Out Process: Eight Steps to a Clean Folio

A hotel check-out process should let a guest leave with a correct bill and a clear record of anything still pending. For an independent Malaysian hotel, the departure also triggers work for housekeeping, accounts and sometimes the booking channel. A rushed close can leave a payment, room charge or late check-out instruction unresolved.
Use these eight steps as a front desk checklist, then adapt the approval and tax details to your property's policy.
Before the guest reaches the desk
- Confirm the reservation and departure date. Check approved late check-out or extension notes before releasing the room. The early check-in and late checkout guide covers the related room-status decision.
- Review charges from every outlet. Make sure restaurant, minibar, transport or other approved charges are posted to the correct folio. Investigate any pending POS posting before promising a final balance.
- Match deposits and payments. Verify advance payment, OTA collection instructions and on-property payments. Do not charge a card again because a deposit is hard to find; use the deposit reconciliation checklist.
At departure
- Explain the final amount. Show room nights, extras, adjustments and the remaining balance in a way the guest can understand. Escalate a disputed charge under the hotel's approval procedure.
- Settle the agreed balance. Record the payment method and confirm the receipt or invoice request under the hotel's current accounting process. If a refund is due, follow the hotel refund workflow rather than promising an instant reversal.
- Confirm contact and follow-up. Ask where the guest wants the final document sent, and record any open service case with an owner. Do not assume every booking-channel email address can receive future marketing messages.
After the guest leaves
- Close the stay and release the room correctly. Change the room to the property's vacant-dirty status, not directly to ready. Check for a room move or another guest on the reservation before updating inventory.
- Hand off exceptions. Record unsettled balances, disputed items, lost property and promised callbacks for the next shift. The front desk shift handover guide helps prevent these from disappearing.
Test the process with a real split-payment or OTA booking in an eZee hotel PMS demo. Ask the presenter to follow the stay through settlement, room-status update and the next shift's view, or book a walkthrough with your reception and accounts leads.
