For a small Malaysian hotel, begin with a few useful messages connected to the reservation and the team's operating hours. Replace every bracketed field before sending.
Booking confirmation: establish the basics
Send a confirmation after the reservation status is verified. Include dates, room type, relevant inclusions and a reference the guest can use when contacting reception.

Include only accurate directions and services. For example, mention parking availability and any conditions rather than implying that every arriving guest has a reserved space.
If your team supports multiple languages, maintain approved versions so staff do not improvise important conditions differently in each language.
Early arrival: distinguish a request from a promise
A room may still be occupied or awaiting inspection. Reply with the current position and a realistic next step.
Thank you, [name]. We have noted your expected arrival at [time]. Early check-in depends on room availability and cannot yet be confirmed. [Luggage storage option, if offered.] We will update you once the room has been released for check-in.
Record the request and assign the follow-up. Use the room-ready process before sending a message that invites the guest to collect keys.
Service request: acknowledge and assign
A reply should establish what the hotel will do next. It should not invent a delivery time to make the conversation sound complete.
Hello [name], we have received your request for [item or service] and passed it to [team]. [Confirmed expected timing, if available.] We will update you if that timing changes.
Keep the request open until the responsible team records completion. For unresolved complaints, agree a follow-up time and make it visible in the shift handover.

Check extensions and approved late departures before triggering a reminder. An outdated message creates avoidable confusion.
Post-stay message: invite honest feedback
Thank you for staying at [hotel], [name]. We hope your journey home goes smoothly. If you would like to share feedback about your stay, you can contact us at [official contact] or leave an honest review at [review link].

Separate operational messages from marketing permissions. Use approved channels, minimise personal information and never request full card details in ordinary chat.
